Purpose

An Administrator Ophthalmic Technician performs a range of duties which include clinical and administrative duties for efficient clinic services. This consists of preparing patients for Consultation. This may be scheduling appointments or diagnostic imaging

Responsibilities

Clinical duties

Perform complete ophthalmic history and preliminary exams, sub-specialty tests.
Perform pre-exam testing to include visual acuity assessment, including pinhole, visual field testing, pupillary dilation, and all other patient services as requested by the Consultant including special tests such as dry eye testing.
Perform and specialised testing such as visual fields, ophthalmic photography, optical coherence tomography (OCT), Optical Biometry of different model types.
Administering medications and topical treatments.
Performs set standard number of patient work-ups based on established times while maintaining quality of customer service.
Educate patients regarding administration of medications and pre- and post-operative instructions as directed by Consultant.
Assist with maintenance of clinical examination equipment.
Check expiration date and inventory as necessary.
Open and close exam rooms daily, ensuring that equipment is wiped down in an appropriate manner, battery powered instruments are seated properly in re-charge wells and slit lamps are switched off under covers.
Follow all safety procedures as per guidelines.
Outstanding interpersonal skills as well as a neat and professional appearance.
Position requires a great deal of initiative and the flexibility to handle multiple tasks simultaneously.

Administration duties

Managing a busy clinical & surgical appointment schedule.
Processing insurance billing forms and invoices for all surgical and clinical procedures.
Updating our practice management system with appointment and patient details
Scheduling clinical and surgical appointments efficiently.
Accurate data entry of patient information into various systems
Deal with a high-level volume of calls in a timely and efficient manner.
Produce a high standard of written communication to medical professionals and patients.
Working to strict process protocols to ensure patients receive the best standard of care.

Requirements

2-3+ years’ experience working in a busy administrative function desirable.
Experience of working with administrative systems is an advantage.
Must be able to multi-task and thrive in a fast paced and changeable working environment.
Exceptional time keeping
Excellent at communicating over the phone and handling phone systems.
Strong computer skills and experience with tracking and recording information and updating customer profiles/accounts.
Excellent attention to detail is essential.
Will have strong organisational, administrative and analytical skills.
Must have the ability to work effectively under one’s own initiative as well as contribute
within a team environment.
Must have a full driving licence as travel may be required.
Excellent interpersonal/teamwork skills.
Excellent communication skills with demonstrated success both verbal and written.
Have the ability to interface and build relationships with patients, employees and management at various levels within the organisation.
